Client statement

You can download a client's account statement as a PDF to print or hand to the client. It covers the client's savings, loans and fees over a period you choose. Statements are for staff to download; clients cannot download their own.

Download a statement

  1. Open the client and stay on the Overview tab.
  2. Under Quick Actions, find the Download Statement button.
    • To download the last 1 month, click Download Statement.
    • To choose a different period, click the small arrow next to the button and pick one of: Last 1 month, Last 2 months, Last 3 months, Last 6 months or All activity.
  3. The PDF downloads to your computer. Its file name starts with statement-, followed by the client number, the period and the date.

If the download fails, you see "Could not download the statement. Please try again."

Downloading a statement does not change anything on the client's accounts. Each download is recorded, showing who downloaded it, for which client, and for which period.

What the statement contains

Header: your organisation's name and the title "Client account statement".

Summary:

LeftRight
Client (name)Statement period
Client numberCovering (the date range)
Group (or "Not assigned")Savings balance
Field officer (or "Not assigned")Loan outstanding
Generated (date)Outstanding fees

Savings: the savings account number and closing balance, then a table with Date, Description, Reference, In, Out and Balance. The table starts with an Opening balance and ends with a Closing balance, so you can follow the running balance down the page to the closing figure. Activity before the period is included in the opening balance.

Loan activity: for each loan, its reference and the totals for Principal, Interest, Repaid to date and Outstanding. Then each collection in the period, showing the amount Collected and how it was split between Penalty, Interest, Principal and Savings, plus the Officer who collected it.

The split follows the payment order: penalties first, then interest, then principal, then savings. The Savings part of a collection also appears as a deposit in the Savings section. The statement explains that this is one payment seen from two sides, not two payments.

Fees: the outstanding fees amount, then a table of fees charged and paid in the period, with Date, Description, Reference, Charged and Paid.

If a section had no activity in the period, it says so, for example "No savings activity in this period." Each page ends with a page number and the note "This statement is a summary of recorded activity and is not a tax document."

tip

Dates on the statement are the dates the money actually moved, such as the collection date, not the date the entry was typed in.
